  • Proven Experience: Prior experience in an administrative, coordinator, or supervisory role — ideally in housing, real estate, or property management.
  • Technical Proficiency: Advanced knowledge of MS Office (Excel) and Google Sheets; ability to manage and analyze data effectively.
  • Time Management: Skilled at prioritizing, multitasking, and managing simultaneous projects under tight deadlines.
  • Organizational Skills: Meticulous planning and attention to detail in handling schedules, documents, and communications.
  • Creativity & Vision: Strategic thinker with innovative solutions for sales, processes, and team efficiency.

📌 Key Responsibilities

1. Operations & Deal Management
  • Supervise daily operations, ensuring efficient task execution and successful deal closures.
  • Monitor housing transactions for accuracy and timely completion, resolving issues quickly.
  • Represent CHFR with professionalism in all interactions with corporate housing partners, landlords, property managers, and clients.
  • Build and sustain long-term relationships to strengthen the company’s reputation and trust.
2. Administrative Support & System Oversight
  • Manage Trello, Smartsheet, and email templates, ensuring accuracy and timeliness.
  • Maintain updated documentation on check-ins, check-outs, and operational workflows.
3. Emergency Response & After-Hours Support
  • Coordinate responses to urgent matters outside business hours when necessary.
  • Ensure staff coverage for emergencies, check-ins, or pending reservations.
  • Take ownership of after-hours issues, guaranteeing quick and effective solutions.
4. Employee Schedule & Absence Management
  • Oversee PTO, vacation requests, and leave tracking.
  • Ensure proper documentation in Google Drive and balanced team availability.
5. Coordination of Teleconferences & Daily Tasks
  • Schedule and coordinate meetings, ensuring agendas and objectives are clear.
  • Assign, monitor, and follow up on daily team tasks.
  • Provide continuous support to guarantee quality and efficiency.
6. Calendar Management & Scheduling
  • Manage multiple calendars with precision, covering:
    • Holidays, vacations, birthdays, and days off.
    • Tenant check-ins/check-outs and cleaning schedules.
    • Security deposit deadlines and time-change reminders.
  • Keep Google Calendar and Trello updated to prevent conflicts and ensure seamless coordination.
7. Marketing & Social Media Management
  • Oversee marketing campaigns and social media presence.
  • Ensure brand consistency and alignment with company goals.
8. Employee Development & Training
  • Provide ongoing training and resources to the team.
  • Foster a collaborative and supportive environment that promotes growth and independence.
9. Website & Content Quality Assurance
  • Regularly review CHFR’s website and housing listings.
  • Identify and correct errors or missing information to maintain accuracy and professionalism.
10. Error Reporting & Process Improvement
  • Detect and report issues in Trello or internal systems.
  • Recommend and implement solutions for greater efficiency.
